1. Who We Are

China MedPass is a medical coordination and facilitation service that helps international patients access hospitals in China. This policy covers our website, the China MedPass app for iOS and Android, and our services. Contact: hello@chinamedpass.com.

2. What Information We Collect

• Account: your email address and name. You sign in with a one-time code sent to your email; we do not use passwords for patients.
• Case and health information: your condition, medical history, medications, allergies, and the reports, scans and images you upload.
• Contact and travel details: phone or WhatsApp number, country, language, date of birth, passport details when needed for bookings or visa letters, travel dates and hotel.
• Communications: messages you send in the app chat, emails, and notes of calls or WhatsApp conversations with our team.
• Video consultations: the audio of the call is recorded, and the call may produce a written transcript, translation and summary.
• Payments: amounts, currency and payment status for your case. Card details are entered on the payment provider's page; we do not see or store your card number.
• Technical: the app keeps your sign-in token and language choice on your device. Our servers keep standard logs (such as IP address and time of requests) for security.

3. How We Use Your Information

We use your information to: assess your case, match you with a suitable hospital and specialist, book and coordinate appointments, run video consultations with interpretation, translate and organise your reports, arrange travel support, take payment for our services, keep an accurate record of your case, and communicate with you about your care. We do not sell, rent or trade your personal information, and we do not use it for advertising.

4. AI-Assisted Tools

We use AI models provided by Alibaba Cloud to interpret speech during video consultations, translate messages and reports, summarise consultations, and help our coordinators draft replies and organise case information. Our staff review this output and remain responsible for your care; AI is never the one making a medical decision.

5. Who We Share It With

• Hospitals and doctors directly involved in your case — only what they need, and with your knowledge.
• Service providers that run our systems for us: Alibaba Cloud (servers, file storage, real-time video and AI services), our email delivery provider, and payment providers. They process data only on our instructions.
• Authorities when the law requires it.

6. International Transfers

We serve patients worldwide and coordinate care in China, so your information is transferred across borders: it is held on Alibaba Cloud servers, and the parts needed for your care are shared with hospitals in mainland China. We share only what your case requires.

7. How Long We Keep It

We keep case information for up to 24 months after your last interaction with us, then delete it — unless the law requires us to keep certain records (for example financial records) for longer, in which case we keep only those records, only for as long as required.

8. Security

Connections to our website and app are encrypted. Access to case information is limited to the staff working on your case, and files are stored in private storage that is not publicly accessible.

9. Your Rights and Deleting Your Account

You can access, correct or ask us to delete your personal data at any time. Most details can be edited in the app under Profile. To delete your account, use Profile → Delete my account in the app or on the website, or email hello@chinamedpass.com (step-by-step: Delete your account). Your sign-in is removed immediately; if you have a case with us, your coordinator deletes your personal data and confirms by email, keeping only records the law requires.

10. Children

Accounts are for adults. A parent or legal guardian must create and manage the account for a patient under 18.

11. Cookies

Our website uses minimal cookies: one to keep you signed in, and Cloudflare Web Analytics for anonymous visit statistics. We do not use advertising cookies or tracking pixels. The app does not use cookies.

12. Changes

We may update this policy. The date at the top shows the latest version; if a change is significant we will tell you in the app or by email.
